Privacy Policy
RebillGuard is an early-stage, founder-operated LTL rebill review service operated by Adam.Akad. This policy explains the information we collect during the pilot, why we use it, how long we keep it, and the choices available to you.
1. Information we collect
When you submit a rebill for review, we may collect business contact details such as company name, contact name, email address and phone number; shipment identifiers such as carrier, PRO number and shipment number; quoted and rebilled amounts; and the documents you choose to upload, including invoices, rebills, quotes, bills of lading, proofs of delivery and supporting correspondence.
We also process limited technical information needed to operate and protect the service. Server and security logs may record information such as IP address, request time, requested path, browser or user-agent information and response status. The intake application additionally uses a one-way hash derived from the client address for short-term submission throttling. The pilot is not designed to build advertising profiles.
2. Why we use the information
We use submitted information to create and review your case, extract and organize evidence, communicate about missing documents or review results, secure and troubleshoot the service, maintain an audit trail, and improve the review workflow using de-identified or aggregated operational learnings where practical.
3. Documents and automated processing
Uploaded documents may be processed by software that extracts machine-readable text and identifies deterministic signals such as amount differences or common LTL charge terminology. Automated processing does not make the final decision that a charge is valid or disputable during the Phase-0 pilot; a human reviewer remains the decision gate.
4. Sharing
We do not sell personal information. We may disclose information to infrastructure, email, security or other service providers that are necessary to operate RebillGuard, subject to appropriate access controls and contractual or account-level protections available to us. We may also disclose information when reasonably necessary to comply with law, protect rights or security, investigate abuse, or respond to a valid legal request.
5. Retention
Customer document files are intended to be retained for up to 90 days after submission unless a longer period is reasonably required to complete an active case, resolve a dispute, meet a legal obligation, or a retention hold is applied. When the retention process purges a file, limited document metadata such as filename, type, checksum and purge timestamp may remain as part of the case audit history. Case metadata, audit records and security logs may be retained longer when reasonably necessary for accounting, security, service history or legal purposes.
6. Security
We use measures intended to reduce unnecessary exposure, including malware scanning before accepted uploads are stored, non-public document storage, restricted file permissions, randomized stored filenames, checksums, authenticated staff access and transport encryption in production. No internet service or storage system can guarantee absolute security.
7. Your choices and requests
You may contact us to ask what information we hold about you, request correction or deletion, or raise a privacy concern. Some requests may be limited where retention is reasonably necessary for security, legal, accounting or dispute purposes. If a privacy law applicable to you provides additional rights, we will handle valid requests in accordance with that law.
8. Sensitive information
Please do not upload Social Security numbers, payment-card credentials, account passwords, medical information or other unrelated sensitive personal information. Redact information that is not necessary for an LTL rebill review whenever practical.
9. Changes
We may update this policy as the pilot, service providers or legal structure changes. The effective date above identifies the current version. If RebillGuard is incorporated, the operator identification in this policy will be updated.
